Every build runs a benchmark of 2 million messages across 14,000 accounts. If any view or search query gets slower than 10 ms at the 99th percentile, the build fails.

Light on memory
A native Rust core with no garbage collector. The table holds roughly one screen of rows, never your whole mailbox, so it stays small next to everything else on your VPS.

Counts that don't recount
Stacks and their counts are updated in the same step that saves new mail. Opening a view reads an answer that already exists instead of scanning millions of rows.

Headers first
Sync pulls headers only. Bodies download when you open a message or when something needs one, so a big import doesn't drag every email over the wire.

Polite to proxies
Each account syncs through its own proxy, with caps on connections at once and per provider. When a proxy or provider pushes back, you can see it and turn it down.

Accounts & proxies
Bulk import from a pasted list, a file, or the CSV export of the tool you use now, with aliases and categories kept. Outlook over OAuth or IMAP, plus Gmail, Yahoo, iCloud, GMX, AOL and any IMAP server. Every account gets its own proxy, from named proxy lists.
Failing accounts are grouped by reason, such as dead proxy, bad password or needs sign-in, so you fix them in batches.

Stacks & search
The same email landing in 5,000 inboxes is one row. Smart stacking also groups subjects that differ by a name or an order number. Search runs across every account at once.
Optional smart views sort stacks into Wins, Purchases, Tickets, Promotions and Spam. A likely scam is never marked important, even when it claims you won.

Orders & tickets
Order confirmations, shipping notices, delivery and cancellation emails roll up into one order each, with items, totals, ship-to and tracking. Filter or group by ship-to or the inbox it landed in, catch-alls included.
Ticket purchases come with event, venue, seats and cost per ticket. Resale sales show payout and profit, and payouts are kept as a ledger.

Codes & links
Ask for the next verification code or sign-in link on any account and Mailman waits for the matching email, then hands back just the value. Match on sender, subject or body with regex or CSS selectors.
The Extractor pulls presale codes, order numbers, verification links or tracking numbers out of thousands of synced emails and exports them.

Alerts & realtime
Post to a Discord or JSON webhook when a stack is tagged Wins or Purchases, or when an order ships or gets canceled. Alerts are sent straight from your machine.
Outlook accounts can sync the moment mail arrives, through push notifications from Microsoft. Our relay only passes on "this account changed". It never sees your tokens or your mail.

Task API
Compatible with the mail-task API your bots already speak. Point the official Go, TypeScript or Python client at your Tasks server and keep everything else: paths, auth, task JSON and polling.
Your desktop does the matching and extraction. You can watch tasks live and run test tasks in the app.

Import
Paste lines like
email:password, add a proxy per line, or bring OAuth refresh tokens. A preview shows what you're about to add, including which Outlook accounts will get realtime push, before anything is saved. -
Sync
Choose how much history to pull (90 days by default, up to all mail), inbox only or inbox plus spam, and how many connections run at once. The Sync screen shows progress, failures by reason, and realtime coverage.

Work the stacks, track orders and tickets as they update, serve codes to your bots through the task API, and get pinged on Discord when something matters.

Is Mailman Windows only?
Yes. Mailman is a Windows desktop app. It installs per user without admin rights and is built to run on a Windows VPS next to your other tools. Updates download in the background and apply on restart.

Where is my mail stored?
On your machine. Accounts, mail and settings live in a local database, and passwords and tokens are encrypted with a key tied to your Windows user. Your mail isn't synced to our servers.
A few features talk to us: your license, the realtime relay (which only forwards "this account changed" pings), and shared label templates, which use anonymized fingerprints and labels, never message bodies. If you use the smart views (Wins, Purchases and so on), an AI model labels each stack by reading one of its messages: the sender, subject and text.
Which email providers work?
Outlook and Hotmail over OAuth or IMAP, plus Gmail, Yahoo, iCloud, GMX, AOL and any server that speaks IMAP.
How many accounts can it handle?
It's built for tens of thousands. Every build is benchmarked on 2 million messages across 14,000 accounts, and fails if a view or search query takes longer than 10 ms at the 99th percentile. In practice your proxies and providers set the pace, and you control how many connections run at once.
Do I need proxies?
No, but at scale you'll want them. Each account can sync through its own proxy, and proxy lists are managed in the app.
Will it work with my bots?
If they use the common mail-task API for verification codes and links, yes. Point the client at your Tasks server address, keep Mailman open, and leave the rest of the integration as it is.
What does realtime need?
Outlook accounts signed in through Mailman's own Microsoft sign-in. Those get push updates the moment mail arrives. Everything else syncs on a schedule as usual, and you can upgrade Outlook accounts to realtime from the Sync screen.
Can I move to a new machine?
Yes. Backup & transfer exports one encrypted file with your accounts, proxies, rules and settings, and optionally your mail. Import it on the new machine and sign in again.
